Wedding coordinator mid-stride through dappled forest light, ceremony arch soft-focused behind her, tree canopy framing sky
Canopy · Day-of Coordination

You planned
the dream.
I'll run the day.

Forest clearings. Permit timelines. Generator rentals. Rain plans. Someone has to know that mud season changes everything.

The six-week
runway

The day runs smoothly because the groundwork was laid weeks before. Every permit checked, every vendor briefed, every rain plan printed.

weeks before

The timeline starts now — not the morning of.

1
Six weeks out

The intake call

We spend 90 minutes walking your vision, your venue quirks, and every vendor you've booked. I ask the questions you haven't thought of yet — generator capacity, site access windows, the one caterer who always runs late.

2
Four weeks out

Vendor alignment

I contact every vendor directly. Confirm load-in times, flag conflicts before they become crises. If two vendors need the same access road at the same time, we solve it now — not at 7am on your wedding day.

3
Two weeks out

The living timeline

A minute-by-minute document that accounts for golden hour light, forest acoustics, and the fact that outdoor ceremonies run on nature's schedule. Shared with every vendor, updated until the eve.

Day before

Site walk & rain plan

We walk the venue together. I check the ground, test the generator, mark the ceremony path. Weather changes everything outdoors — your rain plan is already printed and distributed before I leave.

While you're
getting ready

The clearing is being transformed. Every vendor is on schedule. Every problem is already solved before you hear about it.

🚐

Vendor arrivals

I meet every truck at the gate. Florists, caterers, tent crews, sound engineers — each gets a printed schedule and knows exactly where to go.

⛺

Site build & staking

Tent placement, generator positioning, ceremony arch installation. I know which direction the light falls at 4pm in a pine grove.

🌿

Floral & décor install

Coordinating the florist's timeline with table setup so nothing wilts before guests arrive. The mismatched ceramics get set exactly as you imagined.

🔌

Power & permits on site

Generator load testing, permit documentation on hand, site access managed. If the ranger comes by, I handle it.

We lost our permit two weeks out. She had a backup site secured and re-permitted in four days. Our guests never knew.

The caterer's van got stuck in the mud access road at 2pm. By 3pm, every plate was on the table. I still don't know how.

She ironed the linen tablecloths herself at 6am because the rental company forgot. That is the kind of person you need in a forest.

The crises
you never heard
about

Every outdoor wedding has at least four things go sideways. You'll never know about any of them.
